Terms and Conditions
1. The above prices are inclusive of fuel & chauffeur charges.
2. Minimum billing will be for 4hrs 40kms, and then the billings will be for the next slab 8hr 80 Kms then thereafter extra hour rate and extra km rate will be applicable.
3. For outstation trips, the extra K.M. rate for each car categories will apply, with a minimum billing of 225km per day. Chauffeur outstation and night retention charges will be applicable.4.Outstation Chauffeur Retention Charges Rs.200.00 per day and Rs.200.00 per night. Rs. 500/- in case of Luxury category requirement.
5. State entry permits / fee, parking & taxes extra as applicable.
6. Service Tax, Education Cess, VAT & other Govt. liabilities would be charged extra on the Total Billing. At present Govt. Service Tax is 4.896% to be charged on gross billing.
7. Kilometer & hours will start & finish at our rental location.
8. Reservations: All the reservations will be routed through the Seasons & Vacations Travel, New Delhi office and Reservations will be accepted only on receipt of email / fax request. Confirmation of reservations will be subject to availability of cars / category.
9. Reservations should preferably be given 1 day in advance; however, Seasons & Vacations Travel would be given a minimum of 5 hrs turnaround time to arrange a vehicle.
10. Cancellation Charges:

i. Cancellation made Four hours before the duty reporting time: Nil.
ii. Cancellation charges once the car has left our premises: Minimum slab.
iii. No-show charges: Minimum slab.

2. All the above prices are valid for the period mentioned above which are worked on the basis of prevailing fuel prices. However, if there is any increase in the fuel prices an additional charge namely “fuel price impact” will be charged in the bill. This will be calculated on the mileage actually used divided by the fuel efficiency of the car multiplied by the increase in the fuel price. The revised prices will be applicable from the date of such increase announced. Calculation below: -

3. Credit card - Direct payment.
i. All the invoices are to be paid immediately once the rental is over on a daily basis.
ii. The Chauffeurs will make the invoice on spot.

Optional Tours

1. Same Day Agra (Taj Mahal Tour) :
2-3 Pax: USD 90 Per Person based on A/c Ambassador/Indica Car.
4-5 Pax: USD 70 Per person based on A/c Qualis Car.
6-above: USD 65 Per Person based on Mini Coach / Large Coach.

Cost Includes :

- Delhi-Agra-Delhi by Air-conditioned Transportation.
- One Soft drink can and one mineral water bottle per Pax in car / coach.
- Services of experienced English Speaking Guide for all sightseeing.
- Company Tour Escort service from Delhi in case of more than 6 Pax.
- Buffet Lunch at 5 star Hotel.
- Battery Bus service at Taj Mahal.

Cost Does Not Include :

- Entrance fees to monuments, payable directly.
- Video and still camera fees.
- Personal expenses such as drinks, Wash & Change room, Tipping, etc.
- Any item not mentioned under the head "Cost Include"
2. Panorama View of Delhi Tour : USD 15 Per Person inclusive of transport & Guide.

TERMS AND CONDITIONS:

1) The US$ rates mentioned will be apply to all Foreign Nationals and Non Resident Indians staying at the hotel.
2) Rates mentioned are applicable only for this event to be held on the dates mentioned in this proposal.
3) Our check-in and checkout time is 12 Noon. However, should there be an early arrival or a late departure and you would like us to allocate the rooms upon arrival of the delegates, we will provide the accommodation, subject to availability, based on the following terms & conditions:
a) Early arrival before 10 am or a late departure beyond 2 pm will be charged additionally @ 50% of the above mentioned rates.
b) Early arrival before 7 am or late departure after 5 pm will be charged additionally @ 100% of the above mentioned rates.
May we therefore recommend that you should plan your arrival/departure schedules accordingly.
4) 1)The above rates will not hold should there be any change of dates or should there be any reduction beyond 5% of the number of rooms blocked.
5)1)Any increase in the rooms other than the numbers mentioned above, will be subject to availability.
6)1)These rates are non-negotiable & non-commissionable further.
7) Charges for usage of the audio-visual equipment, telephones, laundry, mini-bar, charged facilities of the health club, room service, business center, smokes and liquor, additional transportation & sightseeing, spouses program, theme/gala evenings and any other facility utilized other than as part of the package will be charged as per actual usage.
8)Any tentative reservation/s and quotation/s as specified in this letter will be held/valid for a maximum of 07 days from the date of confirmation and will be released automatically. We will reinstate the block subject to availability or should we receive a written request for advancement of the deadline for holding these reservations.
9) Confirmation of Bookings and Advance Deposits Clauses:
a) We would require 50% of the total expected billing as a token advance deposit; failing which we would be forced to release the accommodation.
b) 50% of the remaining total expected billing to be given by the guest at least 30 days prior to the checkin at the hotel.
11) Retention Clauses:
a) In case of reduction in the number of rooms and/or minimum guarantees by upto 10% of the rooms originally booked, more than 60 days before commencement of the conference/event, no retention charge will be levied.
b) In case the reduction in the number of rooms or minimum guarantees is 10% or more, received less than 60 days and up to 45 days prior to the commencement of the conference/ event, A.T. Seasons & Vacations Travel Pvt.Ltd. will reserve the right to charge 50% of the total conference package as retention.
c) In case the reduction in the number of rooms or minimum guarantees is 10% or more, received less than 45 days and up to 30 days prior to the commencement of the conference/ event, A.T. Seasons & Vacations Travel Pvt.Ltd. will reserve the right to charge 75% of the total conference package as retention.
d) In case the reduction in the number of rooms or minimum guarantees is 5% or more, received less than 30 days prior to the commencement of the conference/ event, A.T. Seasons & Vacations Travel Pvt.Ltd. will reserve the right to charge 100% of the total conference package as retention.

e) In case the reduction in the number of rooms or minimum guarantees is 5% or more, received less than 15 days prior to the commencement of the conference/ event or Now-Show, A.T. Seasons & Vacations Travel Pvt.Ltd. will reserve the right to charge 100% of the total conference package as retention.

12) Cancellation Clauses: a) In case of a cancellation less than 60 days and up to 45 days prior to the commencement of the conference/ event, A.T. Seasons & Vacations Travel Pvt.Ltd. Will charge a minimum of 50% of total expected billing.
b) In case of a cancellation less than 45 days and up to 30 days prior to the commencement of the conference/ event, A.T. Seasons & Vacations Travel Pvt.Ltd. Will charge a minimum of 75% of total expected billing. However should the confirmation and the subsequent cancellation happen between 45 days and 30 days prior to the commencement of the conference/event, A.T. Seasons & Vacations Travel Pvt.Ltd. will charge a minimum of 85% of total expected billing.
c) In case of a cancellation less than 30 days and up to 15 days prior to the commencement of the conference/ event, A.T. Seasons & Vacations Travel Pvt.Ltd. Will charge a 100% of total expected billing. However should the confirmation and the subsequent cancellation happen between 30 days and 15 days prior to the commencement of the conference/event, A.T. Seasons & Vacations Travel Pvt.Ltd. will charge a 100% of total expected billing.
d) In case of a cancellation less than 15 days prior to the commencement of the conference/ event, A.T. Seasons & Vacations Travel Pvt.Ltd. will charge 100% of total expected billing. However should the confirmation and the subsequent cancellation happen less than 15 days prior to the commencement of the conference/event, A.T. Seasons & Vacations Travel Pvt.Ltd. will charge 100% of the total expected billing.
e) However in the event of a force majeure, we will adjust and not refund the advance deposit against any future conference that you organize within the next one year from the date of your earlier scheduled event, at any of our listed hotels across India. However, the re-bookings will be subject to availability and will be applicable only for conferences of a minimum size of 25 rooms and above for a minimum of 3 nights or more. The adjustment will not be applicable for any other type of travel booking. A force majeure is defined as any natural calamity; riots and government recognized city strike/”bandh”.
13) All disputes will be settled subject to the jurisdiction of Delhi Courts as per the Laws prevalent in India at the time of signing the contract.
14) All government policies/regulations prevalent during the time of your conference /event will apply. A.T. Seasons & Vacations Travel Pvt.Ltd. will not be held responsible for any subsequent changes in the Government policies, rules and/or regulations which will/may have a bearing on the Terms and Conditions of our agreement. In such an event, the Terms and Conditions mentioned herein in this contract will remain valid.

PAYMENT

50% payment required at the time of confirmation and Full payment will be required for all the services 30 days prior to the arrival. Payment can be directly transfer to our Bank account under advise to us as per below instructions :
